A DOT audit can feel overwhelming, but with proper preparation, your fleet can pass with a Satisfactory safety rating. This guide covers every area the FMCSA examines during a compliance review.

Driver Qualification Files: Ensure every driver has a complete DQ file including employment application, MVR (updated annually), medical examiner's certificate, road test certification, CDL copy, and previous employer inquiries going back 3 years. Missing even one document can result in a violation.

Hours of Service Records: Have 6 months of ELD data readily accessible. The auditor will look for patterns of HOS violations, data edits, unidentified driving events, and proper use of exemptions. Review your logs before the audit to identify and explain any anomalies.

Drug & Alcohol Testing: Your program must include a current DOT-compliant policy, proof of random testing at the required rates (50% for drugs, 10% for alcohol), pre-employment test results, FMCSA Clearinghouse queries, and documentation of supervisor reasonable suspicion training.

Vehicle Maintenance: Present organized maintenance files for every vehicle in your fleet. This includes annual inspection records, driver DVIR submissions and responses, repair and maintenance records, and proof that defects are repaired before vehicles return to service.

Insurance & Authority: Have current copies of your operating authority, insurance certificates (minimum $750,000 for general freight), BOC-3 process agent designation, UCR registration, and IFTA/IRP credentials.

General Safety Policies: The auditor will want to see written safety policies covering accident reporting procedures, vehicle inspection requirements, driver training programs, and corrective action processes. These policies should be dated and signed by management.
